In this era of technology, you need not be a hardworking professional but an efficient one or in other words, a smart executor. Everyone is short of time because everyone is engaged in some sort of personal or non-personal life events. Therefore, whether it is a concert or a big hot shot wedding event or may be a product launch, event managers should make the best use of technology for reaching out prospective audience who may be interested in the event hosted by you. By event technology, I do not mean merely putting projectors or other big electronic devices at the venue.
Event Technology is one of the growing concepts of event management which revolves around handling and executing a formal or informal event in a much smoother and smarter way. It aides event planners right from the planning stage of an event till it’s duly execution. This concept not only helps to reach to RPCs (Right Party Contacts), engaging them in social media on various developments but also supports the organisers diverting prospective attendants' psychology and at the end ensures people visiting or taking part in their event in person or virtually. Post planning and during event execution, strategies like newsletters, choosing your own seats options and effective content marketing help an organiser building an effective blueprint of inventory, guest lists, food or any other arrangement which may require based on the number of attendees.
Marking your presence is not only limited to attending the event physically, technology takes care of it too by connecting people from different parts of the world with the help of live streaming, Facebook live events, webcasting etc. Today even corporates prefer to conduct their annual meetings or similar events making the best use of technology such as Virtual Reality, Radio frequency identification naming a few. These advancements not only save money, time and efforts but also help in fulfilling overall mission in a better way. This offers business organisations accumulating responses using web based services like Google analytics, the number of people online through which event managers can prepare for their event accordingly and have first mover advantage.
Many organisations have their own tech-friendly portals and software proving their technological expertise such as Oracle has its own video conferencing portal called ‘WebEx’ which is primarily used for interviewing candidates sitting in other states or countries. It helps in managing their events in many comfortable ways and on your own terms. It would be inappropriate to quote that these above stated technological developments are desirable for only formal events within corporate scenarios are but it is equally recommended for organising informal events like marriages, the 16th birthday of your child or prom night in colleges.
Technology has made our life comfortable but we as event planners have to make optimum use of it. We have to make sure our event is virtually available in all the possible versions to be it mobile, tab friendly or offline mode. It will help in more engagements.
While concluding, the basic aim of any event is to nurture it like a baby so that it could create news and make long term impact in the mind of attendees because they attend it and also in the minds of absentees who could not attend it so that they don’t afford to miss it next time."
